Skip one hidden step when you cut back or cancel iCloud and you could lose years of photos and messages before your account fully disconnects. Here's how to safely export iCloud data.
Before changing anything, you need to know what each iCloud service holds and what happens when synchronization stops. Settings presents iCloud as a single service, but several separate systems work behind that name.
Some services synchronize live libraries or store files. Others back up devices or power Apple-only features such as Hide My Email and HomeKit Secure Video.
iCloud Backup generally excludes data that already synchronizes through iCloud. Photos in iCloud Photos usually aren't duplicated in a device backup, and the same applies to messages and notes stored in iCloud.
The difference between synchronization and backup can turn an ordinary cleanup into permanent data loss. Deleting a photo, message, or document from a synchronized library can remove the item from every connected device.
Turning off synchronization isn't the same as deleting cloud data. Canceling iCloud+ is another separate action with its own consequences.
Reducing your dependence on iCloud also doesn't require abandoning every service. Photos and documents can move elsewhere while contacts remain in iCloud, and Apple-specific data such as passwords can stay where it is.
Leaving iCloud completely takes more work because Apple doesn't provide a simple bulk export for every service. The safest escape route begins with an account audit and independent copies of important data.
After creating those copies, move one category at a time without placing the remaining iCloud data at risk.
Start with an iCloud audit
On an iPhone or iPad, open Settings, tap your name, then tap iCloud. The storage graph shows which categories use the most space, while See All under Saved to iCloud shows apps that synchronize data without necessarily consuming much storage.
Review every iPhone, iPad, Mac and Windows PC signed in to the same Apple Account. A device may hold a local file, note or app database that never finished uploading to iCloud.
Record every category that contains data, and take screenshots of the storage graph and app list. Check Apple Services and third-party apps, then note old device backups and anything shared with other people.
The audit also needs to cover services and relationships that don't appear as ordinary files.
- Shared Photo Libraries and Shared Albums
- Shared iCloud Drive folders and iWork documents
- Shared calendars, reminders, notes and Freeform boards
- Hide My Email addresses and Sign in with Apple accounts
- Custom email domains used with iCloud Mail
- Home accessories, scenes, automations and security recordings
- Family Sharing members using the same iCloud+ storage plan
- Third-party apps that store projects or game progress in iCloud
Apple's Data and Privacy site lets you request a copy of many types of data linked to an Apple Account. The resulting archive provides an extra backup, but it doesn't replace direct exports.
You'll still need to copy files from iCloud Drive and export content from apps such as Photos and Mail.
Choose a destination for every category before moving any data. A Mac or PC, external drive, NAS or another cloud provider can replace part of iCloud, but no single option duplicates every iCloud service.
Make a computer backup before changing sync
Before disabling any iCloud services, create an encrypted computer backup of every iPhone and iPad. On a Mac, connect the device, select it in Finder, and choose the option to back up all data to the Mac.
Select Encrypt local backup, create a password, and store the password somewhere safe. An encrypted backup can't be used without the password.
Windows users can create the same type of backup with the Apple Devices app. Encryption preserves more data, including saved passwords, Wi-Fi settings, and website history.
It also includes Health data and call history, which an unencrypted computer backup omits.
After a Mac backup finishes, open Manage Backups and archive the new backup so future backups don't overwrite the snapshot. A Time Machine backup or a separate copy of the computer's backup folder adds another layer of protection.
A computer backup still isn't a complete export of iCloud. Data synchronized through iCloud Photos, Messages in iCloud, Notes or iCloud Drive may not be included, so every service needs a separate migration.
Don't delete any existing iCloud device backups until you've tested the entire migration. A completed local backup confirms only that the computer created a backup, not that every cloud library was downloaded.
Copy iCloud Drive before disabling sync
A Mac provides the easiest way to move a large iCloud Drive library. Open iCloud Drive in Finder, select the folders, then choose Keep Downloaded. macOS will retrieve files that currently exist only as cloud placeholders.
Wait for every download to finish before copying the files outside iCloud Drive. Choose a local folder that isn't synchronized through Desktop and Documents, an external drive or a folder managed by the replacement cloud service.
Copy files instead of moving them during the first pass. Moving an item out of iCloud Drive removes its cloud copy, while copying keeps the original available for comparison.
Turning off Desktop & Documents Folders doesn't automatically restore existing files to their previous locations. They remain in iCloud Drive, and macOS creates new local Desktop and Documents folders that may initially appear empty.
Before disabling Desktop & Documents Folders, open both folders inside iCloud Drive and copy their contents manually. Disconnect the Mac from the internet afterward and open several large documents to confirm that macOS downloaded the complete files.

The destination appears as On My iPhone or On My iPad, depending on the device. Files can also copy items to external storage or another provider listed under Locations.
Box and Dropbox can appear in Files after their apps are installed and their locations are enabled. Google Drive and Microsoft OneDrive work the same way.
On Windows, select the iCloud Drive files in File Explorer and choose Always keep on this device. After every download finishes, copy the files to a folder outside iCloud Drive.
Keep the original Pages, Numbers and Keynote documents, but export important files in widely supported formats as well. Copies in Word, Excel, PDF or CSV format can reduce dependence on Apple Software while preserving the editable originals.
An ordinary file copy won't preserve shared-folder permissions or collaboration histories. Record each person's access and permission level, verify the copied files, then create new shares at the destination.
Give Photos time to download the originals
Photos is often the largest and slowest part of an iCloud migration. Devices using Optimize Storage may display the entire library while storing only smaller local versions of many photos and videos.
On a Mac, open Photos and choose Photos, then Settings. Select iCloud, and turn on Download Originals to this Mac. Leave the Mac awake with enough free storage until Photos finishes downloading the library.
Quit Photos after the download finishes, then copy the Photos library to an external drive. The library package preserves the Photos structure, edits and organization.
A drive holding a working Photos library must use APFS or Mac OS Extended (Journaled). Apple advises against storing the library on a Time Machine disk, network share, cloud-synchronized folder, SD card or USB flash drive.
The library package is useful for returning to Photos, but it isn't a platform-neutral archive. For copies that work outside Apple software, select the items in Photos, then choose File, Export, Export Unmodified Original.
Unmodified originals preserve the source files without edits. Export a second set with File, Export, Export Photos to create ordinary files that preserve the appearance of edited images. Photos exports each Live Photo original as a separate still image and video.
People moving to Google Photos can request a direct transfer through Apple's Data and Privacy site. The transfer usually takes three through seven days, copies the library without deleting the Apple version and requires enough available Google storage.
Apple doesn't offer the transfer while Advanced Data Protection is enabled. Google Photos receives only the latest edit of each photo and may combine duplicates.
Some content may not transfer, including Shared Albums and Smart Albums. Live Photos, certain RAW files, and some metadata may also be omitted.
Resolve every Shared Photo Library before disabling iCloud Photos. A participant who leaves can keep everything or only personal contributions.
If the organizer deletes the Shared Photo Library, participants who joined more than seven days earlier automatically receive everything in their Personal Libraries. Those who joined less than seven days earlier receive only the photos and videos they contributed.
Shared Albums work differently from a Shared Photo Library. Downloaded copies don't retain comments or likes. Photos may be limited to 2,048 pixels on the long edge, while videos have a maximum resolution of 720p.
Shared Album downloads shouldn't serve as the only copies of original files.
After the transfer, compare item counts, open a selection of older photos, and play recent videos. Test Live Photos, edited images, and uncommon formats separately.
Don't disable iCloud Photos until the replacement library and a separate backup both pass those checks.
Contacts and calendars use standard file formats, which makes them relatively easy to move. Reminders requires more care because Apple doesn't provide a comparable export.
- On a Mac, open Contacts, select All Contacts, press Command-A, then choose File, Export, Export vCard. You can also export contacts as a vCard file through iCloud.com.
- Import the vCard into the new provider. On the iPhone, open Settings, Apps, Contacts, Contacts Accounts, add the account, then select it under Default Account.
- Open Calendar on a Mac and export each calendar as an ICS file. Import each file into the corresponding calendar at the destination.
- On the iPhone, open Settings, Apps, Calendar, Calendar Accounts, and add the new account. Select the provider under Default Calendar.
Calendar can also create a Calendar Archive, but the Apple-specific format is better suited to restoring the app than moving events elsewhere. ICS files don't preserve calendar sharing or collaborator permissions, so send new invitations after checking the imported events.
Reminders doesn't offer a standards-based export. The Mac app can display lists from several supported accounts, but available features depend on the provider.
Save a static copy of every important list before moving anything. Screenshots or PDFs aren't interactive backups, but they preserve the original text and details if the destination drops information. A printout works as another reference copy.
Messages is the hardest library to leave
Messages in iCloud doesn't offer a general-purpose export for another messaging service. iCloud stores the synchronized history, while individual devices may retain only recently accessed messages and attachments locally.
Set Keep Messages to Forever on every Apple device before changing the iCloud settings. On a Mac, open Messages, choose Messages, Settings, select iMessage and click Sync Now. Leave the Mac connected long enough for old conversations and attachments to appear.
Check several older conversations and open their attachments before disabling Messages in iCloud. The manual check won't guarantee that every attachment has downloaded, but missing images or files can reveal an incomplete local library.
On an iPhone or iPad, open Settings, tap your name, iCloud, See All, Messages, then turn off Use on this iPhone or Use on this iPad. On a Mac, open Messages, Settings, iMessage, then deselect Enable Messages in iCloud.
Repeat the process on every device that should retain a local history. After the older conversations and attachments are available locally, create another encrypted computer backup.
Turning off Messages in iCloud allows conversation histories to diverge among devices. Text Message Forwarding can continue sending SMS, MMS and RCS conversations from an iPhone to a Mac or iPad, but forwarding doesn't create a synchronized cloud archive.
An encrypted computer backup can restore locally stored messages to another iPhone, but the backup doesn't produce a convenient collection of readable files. Third-party extraction tools can create searchable or printable archives, although using one gives another company access to highly sensitive conversations.
Disabling Messages in iCloud doesn't disable iMessage. An iPhone can continue using its phone number for iMessage and FaceTime after the Apple Account is signed out, but an iPad or Mac generally needs an Apple Account for independent iMessage and FaceTime access.
Passwords and passkeys need separate plans
Configure the replacement password manager before disabling Apple Passwords. Confirm that the new manager's apps, browser extensions, autofill features and recovery system work on every device.
On iOS 26 and iPadOS 26, as well as the OS 27 versions, the Passwords app can transfer passwords and passkeys directly to another app that supports Credential Exchange. Open Passwords, tap the More button and choose Export Data to Another App.
A file export remains available when the replacement manager doesn't support direct transfers. On a Mac, open Passwords and choose File, Export All Passwords to File. Windows users can export from iCloud Passwords.
On an iPhone, open Settings, Apps, Safari, tap Export under History and Website Data, then select Passwords. Safari saves the exported data in the Downloads folder.
File-based password exports aren't encrypted. Anyone with access to the exported data can read the credentials, so import the file immediately, delete the file afterward and empty Trash or Recently Deleted. Don't save the export in a cloud-synchronized folder.
Apple's file export doesn't include Wi-Fi passwords, credentials from a shared group created by someone else or access granted through Sign in with Apple. Review every shared group separately and make sure important credentials will remain available after the migration.
Passkeys require individual attention when the replacement manager doesn't support Credential Exchange. Sign in to every important account and create a new passkey, password or recovery method before disabling iCloud Keychain.
Sign in with Apple belongs to the Apple Account rather than the password database. Review the list under Settings, your name, Sign in with Apple. Change critical accounts to a conventional email address or another supported login method before ending the Apple connection.
Don't tap Stop Using for every Sign in with Apple entry without preparing the account first. Apple warns that a service may ask the user to create a new account during the next login.
Test the replacement manager by signing in to several accounts on a second device. Confirm passwords, passkeys, verification methods and recovery codes before turning off Sync this iPhone or Sync this Mac under Passwords & Keychain.
Notes and smaller libraries require manual work
Notes can store information in an On My Mac or On My iPhone account, or in another internet account supported by the app. On My Mac and On My iPhone keep notes on one device, while third-party accounts may not support every Notes feature.
Unlock important locked notes and make personal copies of shared notes before moving anything. Sharing, tags, attachments and other iCloud-specific features may not survive a move between accounts.
The OS 26 and OS 27 versions of Notes can export individual notes as PDF or Markdown files. Markdown works well for portable text, while PDF better preserves the visible layout. Neither format provides a bulk migration that retains every attachment and collaboration feature.
An iPhone PDF export includes only the first page of an attached multipage PDF or scanned document. Open every important attachment separately and save the original file when the complete document matters.
On a Mac, move notes in small batches between folders or accounts, then inspect scans, drawings, tables, links and attachments. Export especially important notes individually instead of relying only on the account move.
On an iPhone, Journal has an Export All Journal Entries command under Settings, Apps, Journal. The command creates a ZIP archive containing the entries, photos, locations and other attached media.
Files opens iCloud Drive by default when the Journal archive is ready. Save the ZIP under On My iPhone, on an external drive or with the replacement provider. Journal on Mac and iPad can also export multiple entries as PDFs.
Journal entries aren't included in an iCloud device backup, even when Journal synchronizes through iCloud. An encrypted computer backup includes the entries for an Apple-device restoration, while the ZIP provides a separate archive outside Journal.
Health can export the complete dataset as XML. Open Health, tap the profile picture, then select Export All Health Data. The XML archive is machine-readable, but Health can't restore the archive with a single import command.
An encrypted local iPhone backup remains Apple's supported restoration path for Health and Activity data. Keep the encrypted backup and XML archive because the backup supports restoration while XML provides access to the underlying data.
Voice Memos can export one or more recordings to Files. A standard export creates an M4A file and flattens layered recordings, so choose Editable under sharing options when layers or recording effects matter.
Freeform can export boards as PDFs, and Shortcuts can export individual shortcut files. A PDF preserves the appearance of a Freeform board but not the board's full editability or collaboration history.
Third-party apps require individual checks. Creative projects, notes, documents, preferences and game progress may use iCloud without placing a visible folder in iCloud Drive.
Look for an export or backup command inside every important app. Contact the developer if the app offers no export. Don't delete an app's iCloud data until a working copy has been opened and tested elsewhere.
Mail and iCloud+ features need advance notice
An @icloud.com address belongs to Apple and can't move to another mail provider. Create a replacement address, update important accounts and notify regular contacts before the migration. Keep iCloud Mail forwarding active during the transition.
Mail on a Mac can export selected mailboxes as MBOX packages. After adding both accounts to Mail, copy messages from each iCloud mailbox into a folder belonging to the new account.
Check folders, attachments, sent messages and message counts at the destination. Keep the MBOX archive even after the copied mailboxes pass those checks.
A custom email domain can move because the domain owner controls its DNS records. Create the same addresses with the new provider, copy the existing mail, then replace the iCloud Mail DNS records with the records supplied by the new provider.
Wait until new messages reach the replacement provider before selecting Stop Using This Domain in iCloud. Removing the domain prevents iCloud Mail from sending or receiving messages for those addresses. Previously received messages remain in iCloud Mail and still need to be copied or exported.
List every paid Hide My Email address and record the website or app using each alias. Canceling iCloud+ removes access to Hide My Email, so change important accounts to a permanent address before the current billing period ends.
Relay addresses created through Sign in with Apple aren't the same as paid iCloud+ aliases. The @privaterelay.appleid.com addresses remain tied to their Sign in with Apple accounts. Anyone planning to stop using the Apple Account should give each service another email address and login method first.
Canceling iCloud+ also removes Private Relay and HomeKit Secure Video support. HomeKit Secure Video stores the most recent 10 days of recorded activity, so save important clips before the subscription period ends.
Apple Home doesn't provide a user-facing export for rooms, accessory names, scenes or automations. Record the Home layout before moving to another platform, then confirm that every accessory supports the replacement system.
Removing an Apple Home requires adding the HomeKit accessories again, and some accessories may need a factory reset. Save every setup code and download the manufacturer's reset instructions before disconnecting any device.
The person sharing iCloud+ should warn every family member before ending the shared plan. Apple provides a grace period after shared storage ends, but each member eventually needs a personal storage plan, enough space under the free limit or a separate migration.
Turn off iCloud one service at a time
Don't end the migration by deleting everything at once. Disconnect one category, use the replacement for several days and leave the original cloud data intact until you've confirmed the move.
Repeat the following sequence for every category.
- Confirm that irreplaceable data has two independent copies.
- Test the replacement service from another device.
- Turn off synchronization for the migrated category on every Apple device.
- Choose Download or Keep a Copy whenever either option appears.
- Create a new item and confirm that the replacement service receives it.
- Delete the cloud copy only after the replacement and downloaded copies work.
- Turn off iCloud Backup after creating and testing encrypted computer backups.
- Downgrade or cancel iCloud+ last.
Turning off synchronization usually leaves the server copy in place. A separate storage-management command may be required to delete the data from iCloud.
Turning off iCloud Photos on one device stops synchronization only on that device. Choosing Turn Off and Delete Photos disables iCloud Photos across the Apple Account and schedules the cloud library for deletion after 30 days.
You can reverse the photo-library deletion before the 30-day window closes. iCloud device backups follow different rules.
Turning off iCloud Backup retains existing backups for up to 180 days, while Turn Off and Delete from iCloud removes the selected backup.
In iOS 26, iPadOS 26 and the OS 27 versions, open Settings, tap your name, Subscriptions, then iCloud+ to cancel the plan. The cancellation takes effect after the current billing period ends.
When the account uses more storage than the new plan allows, iCloud stops synchronizing and updating data, and new device backups don't complete. Reduce storage use below the new limit before the billing period ends to prevent failed syncs and backups.
Without another iCloud+ plan through Apple One or Family Sharing, cancellation returns the account to the free 5GB allowance. The account also loses paid features such as Private Relay, Hide My Email and HomeKit Secure Video.
Canceling iCloud+ doesn't delete the Apple Account or erase App Store purchases.
Signing out of the Apple Account isn't necessary for anyone who only wants to stop relying on iCloud. Signing out ends iCloud synchronization and disables Find My on the device, but an iPhone can continue using its phone number for iMessage and FaceTime.
The OS 26 and OS 27 versions may also ask whether to sign out of iCloud alone or both iCloud and the Store. Read every prompt carefully because the choice determines which Apple services remain signed in.
For a complete break, sign out only after every export and replacement has been tested. Choose Sign Out But Don't Erase when local information should remain on the iPhone or iPad.
Deleting the Apple Account is a separate and far more destructive step. Apple Account deletion isn't required to stop using iCloud, cancel iCloud+ or remove personal data stored in iCloud.
Plan for the migration to take days or weeks rather than an afternoon. A gradual exit keeps every step reversible until the final deletion and makes a missing file or broken workflow easier to trace.
A hybrid arrangement will be the best endpoint for many people. Photos, files and backups can live elsewhere while a small amount of iCloud continues handling Apple-specific information that doesn't travel well.
